How to Read Your Result

The headline figure is the value of bookings you are not getting because after-hours callers reach voicemail and do not come back. It is a gap figure, not a forecast.

The voicemail share drives everything

If you already divert after-hours calls to a person, your voicemail share is low and so is the loss. If the phone rings out or goes to a message bank after 5pm, the share is high. Set it from what actually happens, not what the policy says.

Booking rate is the assumption to check

The calculator applies the booking rate you get on calls you answer to the calls you currently miss. After-hours callers often have an urgent need, so this can be conservative for trades and health, and generous for businesses where evening callers are mostly browsing.

Callbacks recover some of it

Some voicemail callers leave a message and are still available when you ring back the next morning. The callback win rate takes those out, so the loss figure only counts callers you never speak to. Set it to zero if nobody checks the message bank.

Why After-Hours Calls Behave Differently

The calls that arrive outside business hours are a different mix from daytime calls, which changes what they are worth.

Trades and emergency services

A burst pipe at 9pm, a lockout at midnight, a car that will not start on Sunday. The caller needs someone now and will keep ringing down the search results until somebody answers. The first business to pick up usually gets the job without a price comparison.

Conveyancers, brokers, agents and accountants receive evening and weekend enquiries from people who are working during the day. These callers are less urgent, so the booking rate is lower, but the average value per matter is often much higher than a trade job.

Of those who leave a message, some have already booked elsewhere by the time you ring back, and some do not answer an unknown number the next day. The callback win rate in the calculator is a share of all voicemail callers, which is why the default is low.

How do I find out how many after-hours calls I get?

Your phone system is the best source. VoIP platforms show call logs by time of day, and you can filter to calls outside your opening hours over a month and divide by four. On a mobile, scroll the recent calls list for a fortnight and count calls after close, before open and on weekends. If you use a call tracking number for advertising, the provider can report by hour. Count every inbound call, then let the voicemail share input handle what happened to them.

What does the voicemail share mean?

The share of after-hours calls that reach a recorded greeting, a message bank, or simply ring out. If your after-hours calls are already diverted to a person who answers, the share is whatever that person misses. If the phone goes to voicemail after close, the share is close to 100 per cent. Set it from your actual setup rather than the intended one.

Should I use the same booking rate as daytime calls?

Start there, then adjust. The calculator asks for the share of answered calls that become a booking or job, which most businesses know from daytime experience. After-hours callers in urgent categories, such as plumbing, locksmithing, towing and veterinary, tend to book at a higher rate because they need help now. Evening callers to professional services tend to book at a lower rate because they are gathering information. If you are unsure, use your daytime figure and treat the result as an estimate.

Why is there a callback win rate?

To stop the calculator overstating the loss. Some voicemail callers leave a message and are still available when you call the next morning, so you already recover part of the value. The callback win rate is expressed as a share of all voicemail callers, including those who hung up without leaving a message. Most businesses find it is low once they measure it. Set it to zero if the message bank is not checked, and set it higher if you have a reliable morning callback routine.

Does the result include repeat business?

No. The value per booking is the first booking or job only. A new patient, a new customer or a new client is usually worth more than one visit, so the annual figure understates the true loss for businesses with repeat work. That is deliberate. A conservative figure is easier to defend when deciding whether to spend money on after-hours coverage.
